ADVERTISING OPTIONS

 GCLS offers SIX ways to advertise your business to our estimated 400 conference attendees in 2017:

 1. Advertising in the Conference Program

The deadline for reserving advertising and for submission of artwork for our Conference Program is APRIL 1st, 2017. (If your artwork includes finalist information, it will be due ONE WEEK after all finalists have been posted.)   We recommend that you book your advertisement early, so that you don't miss out on a great marketing opportunity.  This is particularly true for those wanting a prime location.

Advertising in the Conference Program: If you are wanting to reach out to the Lesbian community, this is a great opportunity.  We are expecting over 350 participants this year.  Everyone receives the color program that is beautifully designed and laid out.  The program contains bios and pictures of attending authors, the conference schedule, lists of donors and sponsors, 5 and 10 year pin recipients, Writing Academy Graduates, and more.  This is a well read and perused program, that is a keepsake for many attendees.

The Program Options The Souvenir Conference Program is a bound, full color booklet, 8.5" x 11", with the following prime locations: Inside front cover, Inside back cover, and a 2-page centerfold. In addition to the full page, prime locations, we have full page, 1/2 page, 1/4 page, and Business card size ads available in scattered locations. If enough ads are received, we plan to do a 1-page spread of business card ads for local business in the hosting city.
Distribution The conference program will be distributed to each attendee of the GCLS Annual Conference. Anticipated attendance is approximately 350.
Advertising Rates Run-of-book color ads are available in a variety of sizes and prices from Full page to Business card size listings. We have advertisement options to fit every budget.
Payment 100% payment is due at the time of space reservation.
Refunds Cancellation requests may be made prior to April 1, 2017. After that date, if no artwork is received, the assigned ad space will read "Author Autographs: This space paid for by ____." No full or partial refunds will be given after April 1, 2017.
File Specifications

Ad dimensions can be found in the table below. We accept .pdf, .jpg, .tif, Photoshop, or InDesign file types. All files should be HIGH-RESOLUTION, 300dpi (minimum).

Ads must be camera ready unless you have contacted Ann McMan for ad creation services.

Important Dates

Reservation and artwork deadline - April 1, 2017. (If you intend your artwork to include Goldie Finalists, please let Carleen Spry know - your artwork will be due 1 eweek after the finalists have been announced.  You MUST reserve your space by April 1st. All other artwork is due April 1st.

2. Awards Ceremony Program Advertising 

Our 12th Annual GCLS Awards Ceremony will be held Saturday, July 8th, 2017 at the Crowne Plaza Chicago O'Hare.  We are expecting up to 400 people to be in attendance. 

Our full color 6"x 9" Awards Program is a keepsake that lists all finalists for each of the awards.  There is space for attendees to collect autographs from the authors throughout the night, and the programs are kept by many. 

To submit an ad for this program, your ad must be at least 300dpi with the following dimensions:
 
  • Ad without bleeds:  8"(h) x 5"(w)
  • Ad WITH bleeds: 9.25"(h) x 6.25"(w)
JPG, PDF or TIF formats accepted - must be 300 dpi or higher.

The cost of a full page ad in the Awards Program is $150 for members and $250 for non-members. (There is also an early bird discount.)

 

Artwork that does NOT include finalist information is due APRIL 1, 2017. Artwork that includes finalist information is due ONE WEEK AFTER FINALISTS HAVE BEEN POSTED.  (Please note: If we do not receive your artwork, the space will say "This advertising space purchase by [_____].")

 3. Awards Pre-show Advertising Slideshow:

This year, we're adding another advertising option - Awards Pre-show Ads.

During the Pre-awards reception and seating, we will be running an advertising slideshow.  This will be an opportunity for 350-400 attendees to see your ads!

All ads will be on a continuous loop during this time. 

 

The cost of advertising in the Awards Pre-show slideshow is $50 for members and $150 for non-members.

Please note: The advertising slideshow will present all advertising in LANDSCAPE layout. So you must provide artwork that is landscape for the best viewing. Artwork that does NOT include finalist information is due APRIL 1, 2017. Artwork that includes finalist information is due ONE WEEK AFTER FINALISTS HAVE BEEN POSTED.  (Please note: If we do not receive your artwork, the space will say "This advertising space purchase by [_____].")

 4. Vendor Room Advertising Slideshow:

This year we have the ability to run a slideshow in the Vendor Room of our conference area.  This slideshow will run during conference house from Wednesday through Saturday and will be seen by all conference attendees.

5. Vendor Room/Awards Pre-Show Combo Advertising:

You can purchase advertising in BOTH the Vendor Room and the Awards Pre-show Slideshows. This will ensure that your ad will receive maximum exposure. 

There is also a $50 discount for purchasing the Combo. 

The cost of advertising in the both the Vendor Roomand the Awards Pre-show slideshows is $80 for members and $225 for non-members.

6. Conference Bag Promotional Inserts:


We accept inserts (appropriate to our Mission) to go in the Conference Bags (handed out to attendees).  

 

Cost is $25 per promotional insert.


WE CAN NO LONGER RECEIVE HAND DELIVERED ITEMS (due to the change in start time for the conference).  Items for inclusion in the bags MUST BE RECEIVED BY June 28, 2017.  

To Ship: Please be sure to mark on outside of box: "Inserts for Conference Bags."  Email Mary Phillips at director@goldencrown.org to request the shipping address.  

Items not received by the deadline will not be included in the bags.  Due to tight timelines, there will be no exceptions and no refunds.
